Most self-storage operators carefully track the rentals they win, but the customers they lose may provide just as much useful information. Every time someone leaves because the right unit size, access type, or feature is unavailable, the facility learns something about unmet demand.
A simple “Lost Rental Log” could capture those missed opportunities. Staff could record why a prospect did not rent, whether they needed a larger unit, climate control, vehicle storage, drive-up access, a different price point, or another feature the property could not provide.
Over time, patterns may begin to appear. If dozens of prospects ask for 10×20 drive-up units that are consistently unavailable, that information could help guide future conversions, pricing decisions, or expansion plans. The same data could also reveal opportunities that occupancy reports alone may never show.
This approach turns lost business into market research. Instead of guessing what the local market needs next, operators can use real customer behavior to make smarter decisions about unit mix, amenities, and future investment.
What to do about it: Add a quick reason field whenever a prospective customer does not rent. Review the results monthly and look for recurring requests rather than individual comments. What customers could not rent today may tell you exactly what your facility should offer tomorrow.
